A healthy Indiana requires health care professionals located in all areas of the state—from inner city neighborhoods to rural communities—available and prepared to educate citizens about health problems and issues and to provide quality service. Area Health Education Centers (AHECs) help to provide communities with this critical resource.

An AHEC is a network of regional centers that are coordinated through a central program office. Today, 54 AHEC programs with more than 200 centers operate in almost every state and the District of Columbia. Each regional center is locally grown to assess and meet the needs of its citizens.

The Indiana AHEC Network enhances access to quality health care, especially primary and preventive care, by improving the supply and distribution of health care professionals through community/academic educational partnerships.

Job Summary

¿¿¿¿¿¿The Program Outreach Manager- Area Health Education Center (AHEC) will assist in the coordination, development, planning, marketing, implementation, and assessment of various projects and initiatives for the Indiana AHEC Network including clinical preceptor development, AHEC Scholars, and brand recognition.

This position requires significant independent planning and development with minimal supervision. The primary role of this position is to organize, implement, and mange projects independently and participate in developing projects as a team, bringing in faculty leadership as warranted. The position makes recommendations to the faculty leadership in a full professional capacity. The position is required to independently research existing processes, policies, and procedures to determine the required strategic need of the projects. The position requires independent thinking in prioritizing project deadlines, coordinating deliverables, resolving issues, and screening and interviewing graduate students as it relates to specific projects. This position also requires training, planning, scheduling, and assigning tasks to the full-time staff, part-time staff, and graduate students. This position will be managing the day-to-day project operations. Position makes critical decisions regarding brand and outreach progress, maintains databases of all data, supervises research staff, provides technical support, oversees data collection efforts for projects, analyzes data collected, compiles reports, attends meetings and presents research findings.

Barriers to progress must be identified and solutions found by the Program Outreach Manager. The Program Outreach Manager must be able to effectively communicate with superiors and subordinates and delegate tasks in an appropriate manner. In addition, the Program Outreach Manager will obtain and get direction/input from all of the investigators, who may be faculty in the Department of Family Medicine, other units in the School of Medicine, other IU schools, other academic institutions in Indiana, government agencies, and community organizations. The Program Outreach Manager will establish policies and procedures related to projects, including how data for the project will be collected, who will have contact with the data, ensure that the University, Department, and Unit policies and procedures are followed. The Program Outreach Manager will be directly accountable for ensuring the budgeted funds are expended correctly and efficiently. Potential errors and consequences include loss of credibility for the Indiana AHEC Network program, Department of Family Medicine, loss of funding, loss of strategic partners, increased liability risk to the University, and harm to medical students, staff, and faculty. Additional errors in planning and implementation may adversely affect job performance of partners and could cause entire programs to be discontinued.

This position requires a skilled leader that can effectively balance related yet distinct programs. The position utilizes strong skills in project management, data analysis and reporting, relation development, education and teaching, communication, and research. The position requires the ability to translate "the big picture" into identifiable and manageable components with established objectives, activities, and timelines while generating and maintaining relationships with executive level stakeholders within and outside the Department of Family Medicine and Indian University School of Medicine all the while cultivating and understanding of stakeholder needs related to specific program missions.

The position requires strategic partnership development with external partners in statewide, national, and international agencies. For example, contact with the Indiana Rural Health Association, Indiana Primary Health Care Association, healthy system partners, and university leaders of health profession training programs across the state.

Primary Duties and Responsibilities:

- Work with partners to develop clinical opportunities for health professions students, representing multiple disciplines gain knowledge and experience in rural and/or underserved settings. Primary responsibilities include: Creating, facilitating and maintaining relationships with internal and external partners and collaborators such as statewide health profession training schools, health system administrators, clinic administrators, and regional AHECs; Assists with the development and maintenance of affiliation agreements, helps to develop and maintain collaborative partnerships with local educators, organizations, health care professionals, and communities to plan, develop, implement, and facilitate student opportunities for clinical experiences in rural and/or underserved settings.

- Coordinates marketing and outreach activities in order to expand the reach and awareness of the Indiana AHEC program. Primary responsibilities include developing, planning, implementing, and evaluating a statewide marketing plan, generating marketing and promotional material, keeping the website up to date, developing a social media presence, and tracking/evaluating the Indiana AHEC program's engagement and exposure on communication platforms. Plan, schedule, and manage research projects/priorities including coordination of work efforts, progress monitoring, problem identification, and implementation solutions as related to the program.

- Assists with administrative oversight of the Indiana AHEC data repository. Primary responsibilities include coordinating deliverables, including, but not limited to quarterly evaluation reports to center directors, annual and quarterly reports, data audits, data analysis, data interpretation, report and manuscript development, and data organization.

- Serves as liaison with internal and external stakeholders. Primary duties include presenting at local state, and national conferences and/or meetings.

- Performs additional responsibilities as assigned.

Required Qualifications

Bachelor's degree in administration, marketing, planning, education, or a health-related and three years of experience in a health or education-related field.

Ability to independently manage the details associated with multiple projects, track activities, and meet deadlines. Exceptional interpersonal and communication skills. Strong decision-making skills and the ability to prioritize tasks. Ability to bring many varied tasks to completion by deadlines. Ability to quickly learn the administrative structure of the University and the procedures necessary to accomplish the job. Attention to detail, strong organizational skills, and the ability to communicate with individuals with varying backgrounds. Ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds.

Preferred Qualifications

Master's degree. Experience in clinical training programs, preceptor development, or previous AHEC experience. Public speaking and project planning experience.
