Individual shall provide Document Control Support services for DSCPA capital projects from the DSCPA Indianapolis Project Management Office (PMO) for project phases Project Initiation ( "PI ) Conceptual Design ( "CD ), Basic Design ( "Client ), Detail Design ( "DD ), Construction and Commissioning ( "CC ), Operational Startup ( "OS ) and financial close-out. Current projects are scheduled to close between 2019 2022 with other potential projects in the pipeline. Services shall include, without limitation:
System Administration / Subject-Matter-Expert (SME) / Training
Be the Google SME Shopping Cart Request Form, DSCPA Change Request Form & Change Log Template and assist project team members as they maintain the request information.
Be the Procore SME and assist with training and troubleshooting.
Provide Procore administration to the internal & external users of the account and assist the DSCPA Director during the annual negotiation for the renewal of the Procore account.
Be the DocuSign SME and assist with training and troubleshooting. Route documents as required.
Document Management
Maintain complete, accurate, and organized records (including the use of the client file naming convention) for multiple projects in Procore, Google Shared Drive (Project Document Management Architecture) and DSE SharePoint site - working with multiple project team members.
Research past projects to satisfy information requests by project team members.
Develop project documents for draft review and prepare documents for final condition as needed.
Maintain consistent document architecture in Procore Documents tool.
Supports handover of project document deliverables (Turn-Over-Package, TOP) to site facilities/operations.
Review / Audit
Collaborates with the PM to update the EM Project Deliverables List.
Monitor & verify that RFI's, Submittals, Transmittals, Meeting Minutes, Drawings, Specifications, construction reports and other project-related documentation are being maintained in Procore properly and provide assistance where needed.
Track completion of documents in Procore and provide documents and drawings performance metrics against scope and schedule
Provide support during audits performed by client.

Expertise with Microsoft suite (Excel, Word, PowerPoint)
Expertise of Google suite (Google Forms, Drive, Slides, Sheets, etc.)
Knowledge of document control best practices and systems
Knowledge of Procore or ability to quickly learn
Knowledge of Trello or ability to quickly learn
Skilled in organization, communications, attention to detail, and time management
